Streamlining Cross-Department Collaboration

A practical walkthrough of how sales, inventory, and logistics coordinate urgent customer requests using CURQ 18 Chat.

1. Scenario Background

At Apex Industrial Supplies, a key customer requests an urgent same-day shipment for 50 specialized valves. The delivery deadline is 4:00 PM.

In traditional organizations, managing an urgent order requires separate phone calls, external chat apps, and scattered email chains. Crucial order details get separated from the actual sales transaction, leading to warehouse confusion and missed shipping deadlines.

By handling the entire workflow inside CURQ Chat, every department coordinates in real time while maintaining a single, unbroken audit trail directly on the sales record.

Step 1: Sales Tags the Warehouse in Document Chatter

  1. The salesperson opens the confirmed quotation in CURQ.

  2. In the right-side chatter pane, they click Log note (ensuring the note remains private between internal colleagues).

  3. They type:

@Marc Demo We have an urgent same-day dispatch request for this order. Can warehouse team pack and hand off to courier by 2:00 PM?

  4. Clicking Log immediately anchors the request to that specific sale record.

Step 2: Instant Alert in the Recipient Inbox

  1. Marc Demo receives an immediate visual badge in his CURQ Inbox.

  2. Opening the notification brings Marc directly to the Sales Order with a single click, eliminating the need to search for order numbers.

  3. Marc responds directly from his Inbox:

Valves are in stock at Bay 4. Packing now.

  4. Marc clicks the checkmark button to mark the notification as read, automatically archiving it into his personal History folder.

Step 3: Logistics Coordination in the Operations Channel

  1. To notify dispatch drivers, Marc opens the #operations channel from the left sidebar.

  2. He posts an update linking the order:

Attention team: Urgent courier pickup scheduled for 2:30 PM today for order SO0042.

  3. The shipping coordinator acknowledges the note by adding a thumbs-up emoji reaction directly on the message bubble.

Step 4: Rapid Problem Solving via “Start a meeting”

  1. At 1:30 PM, the packing team notices that two valve fittings have minor packaging scuffs.

  2. Rather than scheduling a calendar event or walking across the warehouse, the warehouse lead clicks the purple Start a meeting button at the top of the Discuss sidebar.

  3. He invites the salesperson into the call.

  4. Using screen sharing and his webcam, he shows the packaging condition. The salesperson approves the shipment immediately, resolving the issue in under two minutes without holding up packing.

Step 5: Customer Dispatch Confirmation via Canned Responses

  1. Once courier tracking is generated, the salesperson opens the customer order chatter.

  2. In the message box, they type the shortcut trigger:

    :tracking-update

  3. CURQ immediately suggests the standard template. Pressing Enter inserts the pre-written response:

Hello, your order has been packed and handed to courier service today. Tracking reference has been registered.

  4. The salesperson inputs the courier number and clicks Send message to email the customer directly.

3. Key Business Advantages

  • Complete Record Context: Discussions, approvals, and decisions remain attached to the relevant Sales Order rather than disappearing into private email boxes.

  • Fewer Meetings: A quick two-minute ad-hoc call via Start a meeting replaces lengthy formal meetings.

  • Instant Accountability: Colleagues receive direct notifications through their Inbox, cutting response times from hours to minutes.

  • Consistent Customer Messaging: Using canned responses ensures prompt, professional communication across all account managers.
